Position Summary

The Operations Partner will be responsible in supporting the Executive Operations Director (EOD) through interim leadership continuing operational transformation, effectiveness, and excellence across the Foundation. This position involves working in close daily partnership with the EOD and serving as an important point of contact for the Foundation's staff to support operational activity, people partnering and engagement, strategic planning, reporting, coordination of trustee and operations activities.

The ideal candidate will have a very strong people and operational background, exceptional communication and written skills, with the ability to work closely with the Operations Leadership Team (OLT) to implement and support “The One Foundation” strategies.

Principle Accountabilities

Organisational Design, Development and Change

  • Support the EOD in working closely with the Chief People Officer and the wider Operational Leadership Team (OLT) to improve the organisational structure, operational processes, and workflows needed to further integrate the operations activities of the Foundation.
  • Develop cross-functional initiatives and facilitate change management strategies to ensure successful implementation of organisational changes to enhance efficiency and effectiveness, and to improve operational process and performance.
  • Support the EOD in establishing a vision for the role of the regional offices within the Foundation, and in integrating the operations of the regional offices in alignment with the strategic goals of the Foundation.
  • Monitor progress and provide regular updates to senior management about the impact of change initiatives.
  • Manage and co-ordinate communications planning to support operational activity.

Supporting the work and agenda of Trustees

  • Support the EOD in execution of responsibilities relating to work of the Trustees and Trustee committees, with a focus on developing the Foundation as a great place to work where people find meaningful work as part of an operationally effective, unified team.
  • Develop, research and draft reports, briefs, presentations and other supporting materials in a timely fashion to support the EOD’s engagement with Trustee Committees.
  • Support and develop the building of appropriate and positive relationships with the Foundation’s global stakeholders, including support for EOD’s internal and external engagements.
  • Communicate effectively with internal stakeholders at all levels to gain buy-in and achieve positive outcomes.

Supporting effectiveness of EOD

  • Assist the EOD to identify priority items for response or action, ensuring appropriate and timely follow up in the light of those priorities. Coordinate, and prepare for internal and external engagements.
  • Undertake research and project work on behalf of the EOD to resolve operational issues as required.
  • Help manage and prioritise key projects and initiatives, ensuring timely and successful completion and execute projects and matters arising to support the EOD as needed.
  • Support the EOD in a secretariat capacity for committees or other groups chaired by the EOD.
  • Take minutes and notes of meetings for internal information, circulating and following up on action plans when needed.
  • Liaise with staff across the Foundation for the planning of activities, events and specific projects.
  • Coordinate with different departments of the Foundation to ensure smooth operation and implementation of strategies.

Qualifications

Essential

  • Proven and extensive experience in operations, organisational design, change management, and strategic planning.
  • Experienced with trustee and board relations, including experience in report writing and preparing materials for board meetings.
  • Excellent stakeholder engagement and people partnering skills
  • Strong project management skills with a track record of successful operations project delivery.
  • Experiences in working collaboratively with cross-functional and multi-location, cultural and international teams.
  • Excellent written, verbal communication and interpersonal skills.

Desirable

Bachelor's degree in Business, Organisational Development, or a related field.
